Web Print allows users to submit documents for printing from any device with a web browser. This section explains which Web Print options can be managed through the admin web interface, and also explains how administrators can give users specific printing choices, such as grayscale, double-sided, or paper size.
Customize Web Print Options
Use these settings to manage file size limits, define who can access Web Print, and create a custom introductory message.

Maximum document/file upload size — If a user uploads a document greater than the specified size (in MB), their upload is rejected. The default value is 100MB.

Only allow uploads from users in this group — Restrict Web Print access to a particular group of users. When this option is enabled, users not in the specified group do not see the Web Print item in the navigation menu. By deafult, not groups are selected.

Allowed user IP addresses — Use this option to restrict Web Print access to a selected IP address range. For example, access might be limited to systems on a wireless network (i.e. force users on the wired network to use standard print queues). Address ranges are entered in the format:
1.2.3.0/255.255.255.0. By default, no IP addresses are selected. -
Introductory message — The message to be displayed on the first page after a user clicks the Web Print menu option. Use this message to explain the service, offer site-specific advice, or other information to assist the user. HTML is supported, e.g. use
<p>tags to start a new paragraph, or an<a>tag to provide a link. The default message is:Web Print is a service to enable printing for laptop, wireless and unauthenticated users without the need to install print drivers. To upload a document for printing, click Submit a Job below.
To change any of these settings:
- Select Enable Printing > Mobile & BYOD.
The Mobile & BYOD page is displayed. - In the Web Print area, update the settings as required.
The Web Print fields are displayed.
- Click Apply.
Customize print finishing options
The Web Print interface allows users to select the number of copies, but is there a way to give users other print choices like grayscale, double-sided, paper size, or tray selection?
We recommend checking out PaperCut Mobility Print , but if you’re really set on Web Print one way to do this is by setting up separate print queues on the server.
For example:
- For Paper Size or Trays: To offer choices like 8.5x11 versus 11x17 paper on the same physical printer, you can create separate print queues for each setting:
Library Printer (Letter)andLibrary Printer (Legal). - For Color/Grayscale: If your organization wants users to choose between color and grayscale, you could set up two print queues:
Library (Color)andLibrary (Grayscale).
To make sure the job prints out as intended, here are two options:
- Have PaperCut convert the print job — Use PaperCut Filters & Restrictions to automatically convert print jobs to grayscale or duplex. This is the simplest option, but won’t let you set a tray, paper type, or other advanced options.
- Set Windows Printing Preferences — another option is to set the
Windows Printing Preferences
for each queue. This requires Web Print runs as a user account other than “local system” and may not work with every driver.
- The way you set these defaults depends on how Web Print is running.
- Default mode : Web Print must be configured to run as a service account then you must log onto the PaperCut server running the web print service as the Service account.
- Sandbox mode : Log into the Sandbox server as the Web Print user account you created.
- Open Print Management Console.
- Right-click on the printer in question, open Properties.
- On the General tab click Preferences…

- Adjust print settings like duplex, grayscale, or other options. The exact options will vary based on the print driver.
- Click OK to save changes.
- Finally, test by logging into PaperCut as a user and submitting a job to Web Print.
- The way you set these defaults depends on how Web Print is running.
